Dear (Add Recipient’s Name, i.e. Mr. Smith, Ms. Jones),

I am writing this letter in response to your recent decision to reduce my financial aid for the upcoming 2013-2014 academic year. According to your recent correspondence, you have indicated a decision to reduce or cancel my merit scholarship as a result of the low grade point average I received during the spring 2013 term. I would like to offer a rebuttal to your decision by first extending my sincerest apologies for the inadequacies of my grades during the previous term. Second, I would like to offer a comprehensive explanation of the special circumstances I recently suffered that led to my lower than normal grades.

As the spring 2013 semester got underway I was informed by family members that my grandfather had fallen ill. Due to the heavy course load I was carrying at the time, I chose to focus on my studies rather than take time off to go visit him. A few weeks into the term I received word that my grandfather had passed away. This news had an extremely profound impact on me. Deep regret and shame filled me as a result of my decision not to visit him when I learned he was ill. My grandfather and I were very close as he played an instrumental role in my upbringing and was a powerful influence in my decision to continue my education by attending your university. After my father abandoned our family when I was seven, my grandfather stepped in as my father figure and took the time to pass on his wisdom, moral integrity and limitless council to me. He also had a talent for putting things into perspective so that I could make better decisions for myself, and as such, proved to be most trusted and valuable mentor. If it had not been for his persistence and unwavering support I would not be the hardworking, dedicated and enthusiastic student that I am today. Unfortunately, when I learned that I had squandered my last opportunity to visit my grandfather, and thusly, forever lost the chance to say goodbye, I was emotionally devastated and stricken with a deep and paralyzing depression that made it impossible for me to adequately focus on my required coursework. Although I remain profoundly saddened by my grandfather’s death, I now feel intensely resolved to continue on with the education that he so vehemently advocated for me to pursue. As a result, I am now fully prepared and eager to do what I must to achieve success in my studies at your university.

It is now my greatest fear that my continued education has been placed in serious jeopardy as a result of the recent special circumstances that I have had to overcome. A review of my financial situation, as well as the financial aid resources available to me, has revealed that a reduction or cancellation of my merit scholarship would result in my inability to continue on my education at the present time. I am adamant about continuing my education to obtain my degree in Political Science, and as such, am willing to meet any requirements you feel are necessary to set forth in order to maintain the continuity of my merit scholarship. A review of the grades I have earned previous to the spring 2013 term will reveal that I have always been able to maintain satisfactory grades in the past. Based on the special circumstances I have provided, I implore you to reconsider your decision to reduce or cancel my merit scholarship for the 2013-2014 academic year and allow me to complete my degree program and become a grateful and loyal alumnus of your university.

Please feel free to contact me any time if you have any questions or concerns regarding this matter, or if you require any further information from me. I can be reached at (phone number) or via e-mail at (e-mail address). I very much look forward to communicating with you in the near future and sincerely hope that this matter can be resolved in a manner that will allow me to continue as a passionate aspiring student at your institution.

Respectfully,
